Time Management: Chapter 1: Planning Foundation Principles Defn: Predeterming the course of events in writing i.e make a plan.Leads to more focus, sense of control. Everyone in the world has 24 hours in a day. How we choose to use the time that is important Matrix Tool: Quadrant 1: Necessity= Urgent & Important Quadrant 2: Leadership=Important but not urgent (Long term Vision, strategy planning, relationship building, exercise) Quadrant 3: Deception=Urgent but not important Quadrant 4: Default or waste= Neither urgent nor important Most time should be spent on quadrant 1 & 2. In case we spend right amount of time on quad 2 they don’t get to quad 1. Key is to determine difference between urgent & important. Urgent means needs to be done now. Important means that task is worth doing. Book-First things first If you want to spend more time in quad 2 the right place to look for is quad 3 to be able to distinguish. Chapter 2: Planning Tools & Keys Tools best used for the use they are intended for. Planners Define a hub for planning: Microsoft outlook. Synchronise with blackberry/ i-pod. Eliminate floating information. You should know where the info is located. Customise your planning system over time. Ask questions: Is planning tool helping in effective use of your time. Is it easy to use and do you have info available at right time. Chapter 3: Planning Basics Tasks: Time Flexible Appointments: Time specific Prioritise, Track, Capture, Retrieve Prioritise: Write down important tasks. Prioritise in serial numbers. Tackle items accordingly even if all items do not get finished. Giving value and order to daily/ weekly vital tasks. High: Would lose significant value if not done now. Medium: Are important but would not lose value. Low: Optional Track: Monitor progress What’s done, what’s planned, what’s planned forward? What’s delegated? What’s deleted?
